How to Associate Incoming e2a Email with Multiple Contacts/Object records?
Introduction
Note: This feature is available in e2a v3.4943.0 and onwards.
For an inbound email with multiple To/Recipient addresses, if we want it to get associated with multiple object records (e.g., Contacts) based on the recipient email addresses then a junction object named 'Email Recipient' has been introduced in e2a and it will store this association. The said object can be seen by adding its 'related list' on to the e2a Email page layout.
How does it work?
For example, if an inbound email contains 'Email Service Address' along with some other email addresses (belonging to certain contact records in the org) as recipients, then with this setting configured, an incoming email would also get associated to certain contact records based on the matching performed via email addresses.
In order to enable this tracking setting, two fields are introduced in e2a email rule, as mentioned below:
- Store all Recipients: Enable this checkbox to track and store all recipients in the Salesforce org.
- Recipient Object: This is the object to match the recipient's email addresses against. (Note: Currently only 'email addresses' are used to match with object)
Example Scenario:
- Create an email rule on Lead object.
- Check 'Store all Recipients' checkbox in email rule configuration.
- Select 'Contact' in 'Recipient Object' dropdown.
- Create two or more contact records and set their email address which will be same as one of the recipient address (say abcxyz@gmail.com).
- Send email to the email service address and the recipient email address (abcxyz@gmail.com).
- A Lead record will be created with an e2a email attached to it.
- Go to the e2a email record and see the related list 'Email Recipients' (This related list will only be visible if you have added it to the e2a email page layout)
- You will be able to see two or more junction records created, one for each of the above created contacts in that list.
- Here is how the detail page of each recipient record looks:
- 'View Record' in the Recipient Record Link will now take us to the associated contact we created in step 4.
